Cashiering & Bill Payment

Notices:

  • Financial aid will be applied to the student billing accounts on January 2, 2012. Financial aid does NOT display on the paper billing statements that were mailed out December 13, 2011. Students may login to their account beginning January 3, 2012 to see their current amount due.To view an account, login to College Services/WOL: western.edu/inside/students.
  •  Refunds will start being processed on January 5, 2012.  
  • Parents or third parties can make a payment by logging into the ePayment page. Students can set up a third party account and PIN by following the similar eRefund instructions below.

Payment Due Dates

 

Spring 2012

    • Payment is due by 4:00 P.M. MST on January 9, 2012. 

 

After registering for classes, students must pay their bill in full or sign up for a payment plan by the due date to avoid penalties.   If a student's bill is not paid, or if a payment arrangement is not made by the payment deadline, Western’s policy is to remove the student from his or her courses as the college will assume that the student is not attending.  Students will be charged $100.00 to re-enroll into their courses.   

Students can check the balance owed via their Western online account and clicking on College Services/WOL or by contacting the WSC Cashier's office (970) 943-3003.

Billing information is available via the student's Western online account.

 

Payment Options

Pay by Credit Card

Students are encouraged to pay in advance by credit card or electronic check to avoid last minute lines and hassles during fee payment.  We accept Visa, MasterCard and Discover.  Instructions for navigating our online payment system are listed below:

 

Pay by Mailing Check

Checks should be made payable to Western State College and should include the student's ID number. If mailing a check, please note that it must be received (NOT just postmarked) in the Cashier's Office by the due date above to avoid late fees.

Set Up a Payment Plan

The "W-Pay" payment plan provides an interest-free payment plan option for families. This is an excellent option for families to help with their budgeting process. Through "W-Pay" the semester's account balance is split into four equal payments. Late enrollment in a plan will result in the semester's account balance being split into three equal payments.  Full terms and conditions are available upon enrollment. Enrollment in our "W-Pay" payment plan costs $40 each semester and is only available through a student's online account.  The first payment is due by January 9, 2012, with subsequent payments due on February 15, March 15, with a final payment due by April 15.

If you are using W-Pay, you will need to complete a new enrollment agreement each semester you choose to participate in the plan.  You must enroll by January 13, 2012 to avoid being removed from your courses and receiving a late fee.

eRefund Information

Western will refund any excess funds* due to the student by direct deposit into the student’s specified bank account. Paper checks will no longer be issued after the Summer 2011 Term.

Students expecting a refund should sign up for the eRefund program by going to their Western Online Account (WOL) at: http://www.western.edu/inside/students.

To Enroll in eRefund:
  • Log-in to College Services/WOL
  • Click on ‘Student’
  • Click on ‘Financial Services and Cashiering’
  • Click on ‘Account Summary by Term’ or ‘Account Summary’
  • Scroll to the bottom and click on ‘Manage My Student Account’
  • Click on 'Enroll in eRefund.’

 

To enroll, have your bank account and routing information. The process of authenticating a student’s bank account can take up to 10 days. 

Refunds are available on a weekly basis after 10:30 on Wednesday mornings.

*Excess funds: a credit balance resulting from any financial aid that covers more than the costs charged by Western.
