Online Calendar Submission Instructions

Step-by-step instructions for submitting campus events to the WSC online calendar

Submitting an Event

  1. Click “Admin Login” to log into the WSC website

    - Your login name and password is the same as your WSC login
    - The login link is located at the bottom, right-hand corner of all web pages; it is also located in the blue footer of the website
    - Note: A red bar will appear under the blue top navigation bar to indicate when you are logged in

  2. Click on the “Calendar” link in the top navigation bar
  3. Click “Add New Event”
  4. Select “Event” from the “Add New” drop-down menu (located in the green menu bar)
  5. Fill out the event information form: title of event, date(s), start and end times, description of event and contact information; select applicable categories
  6. Click “Save”
  7. Review your entry
    - Check for spelling errors; date/time/location; contact information; formatting
    - Click the “Edit” tab to return to the submission form to make changes
    - Click “Save” or “Cancel” to return to the “View” screen
  8. Click “Submit for Publication” from the “State” dropdown menu (default selection is “Private”)
    - This will send an e-mail to the director of public relations and communications to review and approve the calendar entry
    - Entries may be sent back to submitter if it needs more details or is missing contact information
  9. Click “Log-Out” when finished

Event Submission Form Fields

  • Title (required): Name of event (this will appear on the calendar)
  • Description (optional but recommended): Brief summary or “teaser” for event with the time, date and location; this will appear on the calendar listing page and in a box when the mouse pointer hovers over the event on the calendar; it also appears as bold text at the top of the event page
  • Event Location (required): Examples -- Taylor Hall 206; Jorgensen Park, Gunnison
  • Start Date and Time and End Date and Time (required)
    - Note: See “How to Post Repeated Events” for events that occur on multiple days
  • Event Body Text (required): Include as much information here as possible, such as: cost or free; background info/summary (if speaker, play, artist, concert, etc.; or include a link to their website); registration information; possible restrictions (21 and over; alcohol not permitted); and any other pertinent details
  • Attendees (optional): Who should attend this event
  • Event Type(s): Select type to categorize events for searching purposes
    - Note: Hold CTRL key while clicking types to select multiple categories
  • Event URL (recommended): Link to web page for more information about the event or organization hosting event (must include http://)
  • Contact Name (required): Either the person or department/organization
  • Contact E-mail / Contact Phone (at least one required; both recommended)

 

Editing an Event that has been Published

  1. Click "Admin Login"
  2. Click on your event in the calendar to bring you to the edit screen
  3. Select “Retract” from the “State” drop-down menu
    - Note: this will remove  your event from the calendar
  4. Click the “Edit” tab
  5. Click “Save” when done making changes
  6. Select “Submit for Publication” from the “State” drop-down menu
  7. Click "Log-out" when finished

 

Posting Events that Occur on Multiple Days

  1. Log-in
  2. Click on your event in the calendar to bring you to the edit screen
  3. Select “Copy” from the “Actions” drop-down menu (it’s next to “State” in the green menu bar)
  4. Go to “Calendar” and select “Add New Event”
  5.  Select “Paste” from the “Actions” drop-down menu
  6. Click on “State” at the top of the event listing table to sort the event list by status
    a. Note: Your copied event may not appear right away; click on the “State” again to refresh the calendar page if needed
    b. The copied version of your event will be in red with the status of “Private”
    c. Click on the Event Title to open it
  7. Click on the “Edit” tab and make changes
  8. After saving and reviewing the event, click “Submit for Publication” from the “Actions” drop-down menu
