What is my password for Banner 8?

You will use the same password for Banner 8 that you have used for the older version of Banner.

My desktop shortcut or favorite stopped working to get to Banner 8, what do I do?

Go to www.western.edu/banner. When Banner 8 became live the link changed you will have to resave your shortcut or preferably go to the above link when loading Banner 8.

How do I get a budget summary of expenditures for the current or previous month?
If you would like a budget summary of expenditures made from your department funds for either the current month or the previous month, do the following steps:
- Log into BANNER and enter the job name FIN_FGRBDSC in the Go To box.
- Press Page Down three times and then Commit (F11).
- Enter your budget index number and press Submit
Query.
For a summary of the previous month's expenditures, simply enter the job name FIN_FGRBDSC_PRIOR in the Go To box and perform the same steps.

How do I query and schedule classrooms?
- Department Assistants…To avoid conflicts in classrooms in your building, schedule events using SLAEVNT. Detailed instructions for scheduling events and also querying existing room usage can be found here. Another quick way to look at the availability of a room is to run BLDG_RESERVATIONS through job submission in BANNER.

How do I submit a request for Banner data?
- If you have a request for the BANNER programmers, you can send an email to bluesheet@western.edu. Include a brief description of the request in the subject line. This will submit the request to our “bluesheet” process, and you will be notified of the submission. These requests may include things such as reports of BANNER data, a BANNER navigation issue, analysis for a possible new BANNER-related process, etc. (requests for which you have filled out our “bluesheets” in the past). We still welcome your telephone calls and visits!

How do I change my Banner password?
You can change your BANNER password from the My Links section of General Menu. You can also change it by using the BANNER form GUAPSWD. Type your current BANNER password (leave the database box blank), then type a new password, and verify your new password.

Who do I contact to have an online course created for me?

Your depart administrative assistant can enable this when s/he creates the course initially.
Alternatively you can submit a workorder request to have IT Services create one for you.

How do I fax from campus?

There are a fax machines in the library and the College Center.
If you are a faculty or staff please see the Administrative Assistant in your department for faxing questions. The campus is moving toward a digital faxing solution which allows for sending and receiving faxes through e-mail. I have Office 2007 and am having problems finding features that I used to use in the older version. Is there a place I can get help with this?
You can find help with Word at this Microsoft Office Online help page where you can access a converter tutorial. This tutorial will allow you to rest the mouse pointer over a Word 2003 menu or button to learn its location in Word 2007.
A similar reference document is available for help with Excel 2007.

Do you have any Windows security tips?
- Yes.
- Update Microsoft Windows automatically.
- Use strong passwords or pass phrases for all Windows user accounts on your computer
- Use and properly maintain good and optionally anti-spyware software such as Windows Defender.
- Turn on Windows Firewall in the Control Panel
- Do not open suspicious email attachments or respond to suspicious requests.
- Do not allow your browser to save passwords.
- Lock your PC's screen when you step away, and shut down your computer when you'll be gone for more than 6 hours.
- Where possible, consider using a web browser other than Internet Explorer, and treat "free" software with suspicion.
- Install and use virus protection software and schedule daily automatic virus definition updates.
- Apply vendor security patches regularly.
- Turn the computer off at night/weekends.
- Encrypt any data stored locally on your computer that is confidential or sensitive.

- Yes.

What should I do if my computer is missing?

Students: If your computer is missing, you should immediately report it to Student Affairs, 943-2011, so they can contact the Gunnison Police Department. The Student Affairs Office in Taylor Hall 301 also has a Lost and Found that can be checked. If you are a campus resident, you should also report it to the Resident Director for your residence complex.
Faculty and Staff: If your computer is missing, immediately report it to IT Services, 943-3123.

How do I know if my information has been tampered with and how do I report it?
Unfortunately, it can be very difficult to tell if someone has accessed your information without your knowledge. A good hacker will usually leave no traces, but some breaches are more obvious, almost a prank, such as a "skull and crossbones" as your desktop background. If you think some of your data has changed without your knowledge or is missing, contact IT Services. The best way to avoid this situation is to take preemptive action by having more secure passwords, changing your password regularly, and following good security practices.

What are some examples of reportable incidents?

How do I change the time for my screensaver activities?
- This How-To is for you if you are a faculty or staff member and would like to change the time your screensaver is activated.

Purpose
To change the screen saver settings on your computer.
Prerequisites
A computer and the ability to right-click.
Step by step
The simplest way to access your screen saver is to:
- right-click on your Desktop
- select Properties from the bottom of the context menu
- This opens the Display Properties dialog box.
- Clicking on the Screen Saver tab will show you the available options.
- You can select what screen saver you want to use and how long you want it to wait before coming on.
- You can not uncheck 'On resume, password protect' as that is set administratively.
- When you've made your choices, click OK.
Further information
If you receive messages stating that you do not have permission to change your settings please contact IT Services to look into the problem.

How do I unlock a computer?
- On computers that are used by more than one person, you may find that someone has forgotten to log off and the workstation is locked.

Purpose
A computer I need to use is locked by somebody else. How do I unlock it?
Prerequisites
Explain what is needed to follow the how-to. Try to be specific about versions you are referring to.
Step by step
There are a three ways of dealing with this situation.:
- Best is to track down the user who didn't log off and have them unlock the computer and log off appropriately.
- Contact IT Services and see if it is possible to log the culprit off remotely.
- Lastly, you can power off the workstation by pressing the power button and holding it down until the machine powers off.

*WARNING* If IT Services has to log someone off remotely or if you have to power off the workstation, whomever is logged on will lose any work that is open and not saved.

How do I access my email from home or anywhere off campus?
- Off campus email access is available 24/7 from any location.

- In your web browser go to the following address: http://www.western.edu/exchange
- You should see a box similar to this one:
- Your username/password is the same as your login for campus.
- The email you see off campus is the exact same e-mail you have on campus, including all messages stored in folders.
- In addition you can access your calendar, contacts and to do items from the the same place.

How do I access a networked printer from my PC?
- I am logged in using my Western credentials and need to access a networked printer. How do I do this?

- Click on Start Menu
- Click on Run in your Start Menu and type \\printserver and click the OK button (if you are on Windows 7 you can search for \\printserver in the search bar after hitting the windows icon on the lower left hand corner of your screen).
- A window will appear with all available printers. Double click on the desired printer. When complete, close all open windows, and this printer will now be available if you are logged in as yourself on this PC.

I have a guest on campus and they need access to the network. Can I get a guest account for them?
-
We have guest accounts available for guests who are visiting as a part of a conference, invited speakers, or others who are "sponsored" by a department.
These accounts will allow guests to the WSC campus to temporarily access our wireless network from their own personal laptops.
If you have a guest in your department, such as a visiting speaker, parent, etc., who needs quick access to the internet through their own personal laptop, contact IT Services at 943-3123 and we can provide you with a temporary username and password to give them.
Please contact us yourself rather than having the guest come directly to us.

How do I change my login/Outlook password?

- If you are on a computer on campus you can click Ctrl + Alt + Delete and click on Change Password.
- If you are off campus or not at your personal computer go to www.western.edu/exchange and login. Go to Options on the upper right hand corner of the screen. On the left click on Change Password.

I forgot my voicemail password, what do I do?

Can I write down my password if I can't remember it?
If you have a hard time remembering your password, we suggest you change your password to a passphrase that you can easily remember rather than writing it down anywhere. Post-ITs and notes on your desk are serious breaches of security and would act to negate any increased security benefit from a well-conceived secure password. However, if you do need to write your password down in order to remember it, keep the written password in a locked cabinet at all times, and don’t write it down on anything that identifies you, such as a business card.

Why do I have to change my password?
-
If someone does happen to crack or otherwise find out your password, they may be able to use it without your knowledge. By changing your password regularly, you can minimize the impact of someone using your password and assuming your identity. A second reason to change your password is to shorten the amount of time a malicious individual can attempt to crack your password.

Can I share my password with other people?
We strongly discourage all Western computing users from sharing their password with anyone. If you have a need to share information, please contact IT Services and we can discuss your needs and suggest secure strategies to meet those needs. We can create groups of users and shared services that will meet virtually every need imaginable. You are accountable for all use that may occur during any session that is open under your user ID and password. Please don't share your password, and please log off your computer when you are leaving. The next user should do their work while logged in under their own credentials.

- Make passwords long, 8 characters minimum, twice that much better!
Use variety when choosing letters, numbers, symbols and punctuation. - Things to Avoid
- Personal information (birthdate, first/last name, address, phone number)
Sequences or repeated characters (ex. 111 or aaa)
Dictonary words, even those of foriegn languages.

Add a password to a document - Microsoft Office 2007
- This will allow you to encrypt your file and require a password to open the document (Word document, Excel spreadsheet, PowerPoint presentation).

- Click the Microsoft Office Button
, point to Prepare, and then click Encrypt Document.

- In the Password box, type a password, and then click OK.
- In the Reenter password box, type the password again, and then click OK.
- To save the password, save the file.

Require a password to modify a document - Microsoft Office 2007
- In addition to setting a password to open a Word document, you can set a password to allow others to modify the document.

1. Click the Microsoft Office Button
, click Save As, and on the bottom of the Save As dialog, click Tools.2. On the Tools menu, click General Options. The General Options dialog opens.
3. Under File sharing options for this document, in the Password to modify box, type a password.
4. In the Confirm Password dialog, re-type the password. Click OK.
5. Click Save.
To remove the password, repeat these instructions and then delete the password from the Password to modify box. Click Save.

Encrypt a Document with a Password - Microsoft Office 2010
- Click on File, Info, then click Protect Document.
- Choose the option "Encrypt with Password"
- In the Password box, type a password, and then click OK.
- In the Confirm Password dialog box type the password again, and then click OK.
- To save the password, save the file.

- Click on File, Info, then click Protect Document.

- Use the password to open the document.
- Click on File, Info, then click Protect Document.
- Click on Encrypt with Password.

Require a password to modify a document - Microsoft Office 2010

1. Click on File, Info, Protect Document
2. Click on Restrict Editing
3. A bar will appear on the right hand side of your document. You have the choice to limit formatting, or allow only certain types of editing. When you are done click on "Yes, Start Enforcing Protection."
4. Type in a password then click OK.

How do I check my e-mail usage and quota?

Outlook 2007
1) When you are logged in to Outlook, right click on your Mailbox (see below) and then click on Properties.
2) Click on "Folder Size" at the bottom then look at your total size (including subfolders). Your maximum alloted size is 1,048,576KB (or 1GB).
Outlook 2010
1) Click on File
2) Click on Info and under Cleanup Tools you will be able to see your usage.
Exchange/OWA
1) When you are in Exchange (www.western.edu/exchange) or OWA you can find your usage and quota by hovering over your name in the upper left hand corner of the screen.
Phone Issues

How do I pick up a call from another extension?
-
Press * 13 then the extension number.
If you want a phone line to automatically transfer over to your phone line please submit a work order including the two phone numbers and IT Services will set this up.

Voicemail/Outgoing calls not working, what do I do?
-
If you are not receiving voicemails, your name is not appearing when you dial out, your are not able to call long distance, etc. your phone is probably not registered. Press the Voicemail button then follow the prompts. You will want to hit option 7, option 3, then option 1. This should register your phone to your office location.

How do I check voicemail if I am not on campus?

- How do I get to call manager from a mac or from off campus?

Follow the link below and logon with User ID: wsc\fac_username and password: is your regular password. Once logged in, you can check your voicemail and change the settings on your phone.

· Go to www.western.edu OR the webpage that you are trying to edit, scroll to the bottom of the page and look for “Admin Login” click on that and type in your normal WSC username/password
Organization within Plone
· You must have been given access to an area on the website before you can edit anything. Depending on what department you are in and what you need access to will determine who can give you this access.
· Almost everything is stored in “Folders”
· Within “Folders” are things like “Pages,” “Files,” “Images,” “Surveys,” etc.
· More than likely you will want your information stored in a folder that way everything will be stored together.
Creating a Folder
· A folder is a place where you can store things like pictures, pages, files
· It is recommended that you create a folder for everything you will be editing. That way these are all the things that you have access to and can separate it from others’ files.
1) Login at the bottom of the screen under “Admin Login”
2) Go to an area that you have access to editing (you can tell if you have access to edit the page if you have a green bar at the top of the page)
3) Click on “Add new…” which is on the green bar
4) You will want to add a new “Folder” (Unless you have a very large amount of items you will be using you will not want to use “Large Folder”)
5) You will now be taken to another screen where you have to type in a title. This will show up as the name of the folder (in things such as the Navigation bar, at the top of the Folder, on the list on the top of the screen)
6) You can type in a description if you want
Creating a Page
· Pages are where the actual content is within your folder, this is what people will see
1) Once you are in the folder you’ve created click on “Add new…” which is on the green bar
2) You will want to add a new “Page”
3) You will now be taken to another screen where you have to type in a title. This will show up on the top of the actual visible page.
4) You can type in a description if you want, this will show up in bold text under the title and before the text you type in below.
Adding a Picture to the Folder
*You must upload a picture before you can add it to your page. If you try to copy/paste a picture from another location it probably will not show up when you are logged out of the website. This means that others who go to your page will probably not be able to see your pictures.
1) Go into your folder and click on “Contents” on the top of the screen, you should see a list of anything you have in the folder
2) Click on “Add new…” and then click on “Image”
3) Add a title to the picture, this will show up when you have your mouse over the picture when it is uploaded.
4) You will need to have the picture already downloaded somewhere on your computer or on a thumb drive or somewhere that you can upload it from
5) Click on the picture that you want uploaded then click on Save.
6) Now your picture is in your folder, however at this point it will not automatically show up in your page you will need to add it to the page.
Adding a Picture to the Page
1) Go back to the page that you want to add the picture to
2) Click on the page then click on Edit
3) You will then click on the blue/green tree, this is the icon that you will use to choose your picture for this page.
4) If the picture is in the folder that you just created it will probably just show up automatically. However you can also search for it throughout the website if you are taking a picture from somewhere else.
5) Click on the circle next to the particular picture you will be using.
a. Left will put your picture on the left of any text
b. Inline will put your picture in the middle of your text
c. Right will put your picture on the right of any text
6) Sometimes you can change the size of your picture successfully here however it is best not to have too big or too small of a file for your picture
Adding a Link
*This will add a link within your page to another page within the WSC site or to an external link
INTERNAL LINK
1) Open the page you want to add the link onto
2) Type in whatever text you want to show up (ex. Click here or the Department or page name)
3) Highlight the text then click on the white link icon, if you move your mouse over it, there is text that says “insert internal link”
4) You will now have to choose an internal link that you want this text to go to, if the page is somewhere else in the website you can either search for it or try to navigate to where the page is located
5) Click Okay and then your text should turn blue and there should be a line under it.
EXTERNAL LINK
1) Open the page you want to add the link onto
2) Type in whatever text you want to show up (ex. Click here or the Department or page name)
3) Highlight the text then click on the globe icon, if you move your mouse over it, there is text that says “insert external link”
4) You will be prompted to type in the web address. You can click on Preview to see what the page will look like.
5) If you are linking to an external link you must have a note that says “Links on these pages to non-college sites do not represent endorsement by Western State College of Colorado” HOWEVER please try not to do this too often. Western could lose our “.edu” status if we use external links too much.
6) Click Okay and then your text should turn blue and there should be a line under it.
Adding an e-mail address
1) Open the page you want to add the link onto
2) Type in whatever text you want to show up (ex. Click here or the Department or page name)
3) Highlight the text then click on the globe icon, if you move your mouse over it, there is text that says “insert external link”
4) You will be prompted to type in a web address. At this point you will delete http:// and type in “mailto: (e-mail address)”
Embed You Tube Video
1) Go to the You Tube Video and click on “Embed”
2) Copy the HTML
3) Go to the Plone page that you want to embed the video and click on Edit
4) Click on HTML and paste the HTML code
Making a Page Externally Visible
· This will make it so your page is visible to the world, otherwise you can’t see it if just browsing the website.
1) On the page itself you can click on State: Internal Draft and go to Submit for Publication, it will change to “Pending Review” and will be orange
2) Click on Pending Review and then click on Publish Externally
OR
1) Go to the Folder level by clicking on the folder and go to Contents
2) Click on the box(es) next to the item(s) then click on Change State
3) At the bottom of the page click on Submit for Publication then Save
4) The items will change to orange in color
5) Click on the box(es) again next to the item(s) and click on Change State one more time
6) At the bottom of the page click on “Publish externally”
How to add a link to a text document/PDF
1) In a folder that you have created or have access to go to Contents
2) Click on “Add new…” and then click on File, you will have to add a title
3) Click on Browse to add your file
4) Click on Save
In a page you’ve created you can link to that document or just leave it in the Navigation Bar on the left. To add the text document/PDF to a page you’ve created follow the steps below:
1) Go into the page that you want to add the text to and click on Edit
2) Type in some text then go to the link icon (insert an internal link), if you do not type in text it will appear as the title that you gave the document.
3) Choose the document/PDF file you want to link to and it will be added.
4) Click on Okay and you will have a link to your document/PDF
Adding a Slideshow in Plone
Slideshows are a great way to view many pictures. However there are a few things to note with slideshows. There are some hints below to be aware of, please read this entire document before beginning. Feel free to contact me with any questions.

2) Under “Actions” click on “Make Slideshow”
3) An orange bar will show up saying “You must add images within this folder for them to show up in this slideshow”
4) Add a new image (Click on “Add new…” then “Image”)
5) Go back to your folder and continue
6) Repeat steps 4 and 5 until all your pictures have been added to the folder
*You will need to wait for about an hour for the slideshow to begin working properly
*When you go back to the slideshow and you are logged in, typically only one picture will repeatedly show up and seem to loop in the slideshow. However when you are logged out (and have made the slideshow external) it will appear properly.
*If you add pictures before you make the folder a slideshow it will not work properly
7) Click on “Slideshow Settings” to change the size of images, timing, order etc.
*When you have finished making your slideshow you will have to link it to another page
*Please note that pictures should be approximately the same size as they are added into the slideshow.
*It is best to work with jpeg format images
*Remember to make the folder externally visible when you are done
Adding a Table of Contents
1) Click on Edit
2) Go to Settings (Default, Categorization, Dates, Ownership, Settings)
3) Click on Table of Contents and click Save
Note: The items that will show up in your Table of Contents are any item that is a Heading
Excluding from Navigation
1) Click on the page or folder you want to “hide” from the navigation bar.
2) Click on Edit
3) Click on Settings (located right above the Title section: Default, Categorization, Dates, Ownership, Settings)
4) Click on Exclude from navigation
5) Click on Save

How do I change the reply to address in my Plone forms?
- A means for overriding the default reply address in Plone Forms.

If you are creating forms in Plone and need to change the reply to address from the default Western site address.
Step by step
- In your form folder click the contents tab.
- Click on your Mailer adapter.
- Click the Edit tab
- Click on Overrides
- For the form field: Sender Expression enter the following: request/form/replyto
- Go back to the Default and type in the Recipient's full name and e-mail address.

How do I change ownership of page/folders in Plone?

- Go to the page/folder you want to change.
- Click on the Edit tab.
- Click the white Ownership button above the title field.
- Input the user account there.

How do I create forms in Plone?

Plone uses a product called PloneFormGen for creating forms. If you are comfortable adding pages , folders, images etc. then you create professional looking online forms! The forms can email results to people or be saved in a csv file and downloaded to Excel. The people over at OneNorthwest have put together a very helpful tutorial covering the basics of form creation with PloneFormGen:

Workflow definitions
- Confused about what state your page/folder needs to be in? Here are some definitions to help out.

- Internal Draft
- This state is the initial state most content types are in when they are created. In this state only the owner (creator) and editors/reviewers for the page have access.
- Pending Review
- The item has been submitted for review. Access to the page is limited to those with Reviewer status for the item.
- Externally Visible
- The item is viewable by anyone and requires no authentication to access. This is the extranet and most pages will be in this state.
- Internally Published
- Viewable by only those that have VIEW access in the sharing tab. Along with all editors and reviewers for the item.
